Build Your Notion Second Brain: A Complete Setup Guide
Build Your Notion Second Brain: A Complete Setup Guide
A Second Brain externalizes your thinking, turning scattered notes into an organized knowledge asset. Notion’s flexibility makes it ideal for implementing Tiago Forte’s CODE framework: Capture, Organize, Distill, Express. Follow this structure to build a system that scales.
1. Capture: Frictionless Input
Create a single **Inbox database** set to Table view. Add properties: `Name` (Title), `Type` (Select: Article, Video, Idea, Meeting), `Source` (URL), `Status` (Select: Unread, Processing, Archived), and `Date Added` (Created Time).
Install the Notion Web Clipper and mobile share extension. Configure the clipper to save directly to your Inbox database. The rule: if it takes more than three seconds to save, you won’t do it. Capture everything—highlights, fleeting thoughts, reference material—without organizing it yet.
2. Organize: The PARA Method
Create four top-level pages or databases representing **Projects, Areas, Resources, Archives (PARA)**.
* **Projects:** Short-term efforts with a deadline (e.g., "Q3 Marketing Launch"). Use a Board view grouped by Status (Not Started, In Progress, Review, Done). Link related notes via a Relation property to your Notes database.
* **Areas:** Ongoing responsibilities with standards to maintain (e.g., "Finance," "Health," "Team Management"). Use a List view. These hold evergreen notes and SOPs.
* **Resources:** Topics you’re interested in or researching (e.g., "SEO Tactics," "Python Scripts"). Use a Gallery view for visual scanning. This is your reference library.
* **Archives:** Completed or inactive items from the other three. Move items here instead of deleting to preserve search history.
**Crucial:** Do not organize at capture time. Process your Inbox weekly. Move items to PARA based on *actionability*, not topic.
3. Distill: Progressive Summarization
Create a master **Notes database** (linked to Projects/Areas/Resources via Relation). For every note entering your system, apply Progressive Summarization layers over time:
1. **Layer 0:** Raw source (clipped article).
2. **Layer 1:** Bold the main points during first read.
3. **Layer 2:** Highlight the best 10–20% of bolded text.
4. **Layer 3:** Write a 2–3 sentence executive summary at the top of the page in your own words.
5. **Layer 4:** Create an "Atomic Note"—a standalone concept linked to other atomic notes (Zettelkasten style) for networked thought.
Only distill notes when you need them for a Project. Avoid upfront summarization.
4. Express: Output Workflows
Build a **Content Dashboard** (Linked Database view of Projects filtered to `Status = In Progress`). Inside each Project page, embed a Linked Database of `Notes` filtered to `Project = Current Page`. Drag relevant Atomic Notes onto the page canvas to outline deliverables. Write directly in Notion or export to your publishing tool.
Maintenance Protocol
* **Daily (5 min):** Clear Inbox to zero. Move items to PARA.
* **Weekly (30 min):** Review Active Projects. Update statuses. Distill notes for current priorities.
* **Quarterly (60 min):** Audit Areas/Resources. Archive stale items. Refine tags and properties.
Start with the Inbox and PARA structure today. Add Distill and Express layers only when friction demands them.
